Teams, members and roles

What a team is, what administrators and members can do, and how to invite people, change roles, switch teams and leave one.

A team is your shop (or a department of it) in the app. Everything you create belongs to exactly one team: artwork and proofs, preflight reports, imposition jobs, estimates, materials and equipment. Every member of a team works with the same data, and nothing is shared between teams.

The team's Team ID is part of every app address: /a/<team_slug>/…. You can belong to several teams. The one in the address is the one you're working in.

Roles#

Each member of a team has one role.

A team always has at least one administrator: the app refuses to remove the last one. Make someone else an administrator first.

Create a team#

When you sign up without an invitation you get a team straight away, named after the Team Name you entered (or a name based on your email address when you left it empty). You are its administrator. If you signed up from an invitation, you join that team instead.

To create another team, open the team switcher in the header and choose Add team. Give it a Team Name. The Team ID is filled in from the name, and must be unique and contain no spaces. Create a team

Team settings#

Open Team in the sidebar, or Team settings from the team switcher or your account menu.

  • Team Details: administrators can change the Team Name, the Team ID and the Time Zone, then Save Details. Changing the Team ID changes every app address of the team, so bookmarks and API calls that use the old ID stop working. Members see the details but can't change them.
  • Team Members: everyone on the team, with their role.
  • Danger Zone: administrators can Delete Team. This permanently deletes the team and everything in it.

Time zone#

The Time Zone is your shop's. The app uses it where a date has to mean the same time of day for the whole team: a job's due date entered without a time means 17:00 in the team's time zone, the job's Order card shows its due date and time in that zone (see The Production tab), and ganging reads an item's due day in it (see Item properties).

With Not set (UTC), a due date entered without a time means 17:00 in your own time zone (see Your account, 2FA and API keys), or in your browser's if you haven't set one, and ganging reads due days in the time zone of whoever runs it. Your own time zone still decides how dates and times are shown to you elsewhere.

Invite people#

Administrators invite people under Invite Team Members: enter an email address, choose a role, and Send Invitation. The app emails a link to join.

  • Someone with an account signs in and accepts. Someone new creates an account from the link, with the email address the invitation was sent to.
  • Unanswered invitations are listed under Pending Invitations, where an administrator can Resend Invitation or Cancel Invitation. An address can have only one pending invitation per team, and existing members can't be invited again.
  • An invitation link works once and expires 14 days after its most recent send. After it is accepted or expires, the link no longer works. Resend Invitation renews the 14-day window.
  • You see invitations addressed to you under Pending invitations in the team switcher.

Change a role or remove someone#

Administrators open a member from Team Members to change their role or remove them from the team. Nobody can change their own role, so an administrator who wants to step down asks another administrator.

Switch teams and leave a team#

Open the team switcher at the top of the header and pick a team. Its home page opens.

To leave a team, open your own entry under Team Members and remove yourself. If you are the only administrator, make someone else an administrator first.

Teams and the API#

API keys belong to a person, not a team: a key can reach every team its owner belongs to, with that person's role. The team is chosen by the address of each call. See Your account, 2FA and API keys for keys and Teams API for the teams API.

Seat limits#

Free includes two team seats, Shop ten and Production twenty-five. The 14-day trial includes twenty-five seats. Reviewers using proof links do not use team seats. Invitations do not reserve a seat: the team must have capacity both when an invitation is sent and when it is accepted. If the last seat is taken meanwhile, an administrator can add seats or remove a member, and the invitee can try again. Downgrading never removes existing members automatically. Your team’s seat allowance#

Team settings shows the current member count out of total seats, with included seats and purchased extras listed separately. The available count updates as people join or leave. Pending invitations do not reserve seats, and external reviewers do not use seats. Administrators can use Manage plan and seats to add capacity.
