Reviewers: invitations and identity

Email a proof link to reviewers, how personal links tie a decision to an address, approvers and viewers, and how the proof page knows who is reviewing.

Reviewers are the people who open a proof link: your customer, their colleagues, your own designers. They never need an account. Email them the link from the app and each gets a personal link, so their decision is tied to their address.

Email a link#

  1. On the Approvals page, choose Share on the artwork's row.
  2. Under Email a link to reviewers, pick the link to send: Simple, Advanced or, when there is one, 3D.
  3. Enter the Reviewer emails, separated by commas, semicolons, spaces or new lines. Up to 50 at a time.
  4. Add a Message if you like: it goes above the link in the email.
  5. Choose Send email.

Each reviewer gets their own email. Its subject is "Approval requested:" with the artwork name and version, for example "Approval requested: Carton 200 v2". It holds your message, their personal link, and a line saying that the link lets them comment and decide as their address. Everyone you email becomes an approver of that link.

If the email can't be sent, the dialog says so and nothing is saved: send it again later. Every send is logged in the history, for example "Simple link emailed for v2", with the addresses and the message.

The link in an invitation email has a personal part for that address. Opening it tells the proof page that the reader received the email: the page remembers them as that reviewer, verified, and shows the plain link in the address bar. The Who is reviewing? dialog then says that the address is confirmed by the invitation link.

  • An invited address can comment and decide only from a browser that opened its personal link. Anyone else who types that address is asked to open the link in the invitation email instead.
  • Opening the personal link on another computer or phone makes that one the reviewer's too.
  • A personal link confirms its address for two years after it was sent. Send the link again for a later review.
  • Forwarding the email forwards the personal link with it: whoever opens it can decide as that address.

Every decision records whether its address was verified this way, and the shop's decision email says when it wasn't (see History and notifications).

Approvers and viewers#

Each reviewer of a link has a role:

ApproverTheir decision counts. Everyone you email becomes an approver, and so does anyone who approves or rejects.
ViewerOnly commented. A viewer never holds up or blocks an approval.

Only approvers decide a link's status. Someone who only comments stays a viewer and never holds an approval up. A reset turns approvers who weren't invited back into viewers (see Decisions, locking and reset).

Who is reviewing#

The first time a reviewer comments or decides, the proof page asks for their email address and, optionally, their name. They can also set it in advance with the round button with their initials in the header, or Add on the Comments tab.

  • The browser remembers them for a year, on the proof pages only. Only this browser can edit or delete their comments.
  • Not you? in the same dialog forgets them on this browser. Their comments stay, but can't be edited from here any more.
  • An address nobody invited belongs to the first browser that used it on the link. Someone on another browser who types it is asked to use their own address, or to ask you for an invitation.

An address typed by a reviewer is never checked with an email: only an invitation's personal link verifies it.

What reviewers see of each other#

  • A reviewer sees the names other reviewers gave, and their email addresses masked, like r•••@example.com. Their own address shows in full.
  • Your team members see every address in full, on the dashboard, in the API and on the proof page while signed in.
  • Reviewers see the comments and history of the link they opened, plus their own comments on other links of the artwork. The history they see leaves out your notes, reset reasons, messages and who was emailed (see History and notifications).
