When the artwork is ready, send it to your customer for approval without leaving the editor. Reviewers open a link, comment and approve. What they see is the print-ready file when there is one, so they approve the bleed, the renames and the traps you made, not only the original.
Share a proof#
Choose Share proof for approval… in the header's ⋯ menu, or Share proof… on the 3D tab, to make an approval link for the flat proof, the 3D proof or both.
The dialog asks for:
- Name
- The name reviewers see. It starts as the artwork's name.
- Flat proof (the PDF) and 3D proof (folded carton with finishes)
- Tick one or both. 3D needs a die; it is ticked for you when the carton has folds. See 3D proofs and comments.
- Viewer
- Simple, or Advanced (separations, measuring), which gives reviewers the plates and a measuring tool. In the simple viewer, a file that uses overprint is still proofed from its separations, so overprint shows as it will print. See Share links: Simple and Advanced.
Press Share. The dialog then says which version was shared ("Shared as version 2") and gives the link: Copy it, or Open the proof to see what your reviewers will see. Sharing from the editor emails no one: send the link yourself, or email it from Approvals (see Share links: Simple and Advanced).
If the 3D files could not be saved, the dialog warns that the link shows the flat proof only. Share again to send the 3D proof.
Versions#
Every share of an artwork goes to the same approval artwork, so its history stays in one place:
- the first share creates it, as version 1;
- sharing again while the file hasn't changed reuses the version you shared last;
- sharing after the file changed (new bleed, traps, renames) adds the next version.
An artwork you brought in from approvals is shared as that same approval version while its file is still in use.
A file you opened from Files (see Files and images) is shared as its print-ready file while that is up to date, and as the version itself otherwise. Its proofs go to the approval artwork that proofs that file in Files, the same one Send for proof in Files uses, so the file's proofs stay together (see Proofs and Files).
The approval chip#
After a share, the header shows the latest decision on the version: Awaiting approval v2, Approved v2, Changes requested v2, or Proof v2 not sent when the version has no link yet. When the file in use changed after that version was shared, the chip adds file changed: share again so your reviewers see the current file. Click the chip to open your approvals.
A 3D proof keeps the carton as it was when you shared it: the board, finishes, lighting, fold and saved view. Changes you make afterwards reach reviewers only when you share again.
