The Approvals page lists your team's artwork, one row per artwork, for its latest version. From a row you open the proof, share it, upload the next version, read what happened and send the artwork on to imposition.
Upload artwork#
Choose Upload artwork at the top right.
- Drop a PDF on the dialog, or click it to choose one. PDFs only, up to 200 MB. For a PDF that is already in Files, choose Choose from Files instead (see Proofs and Files).
- Artwork name is filled in from the file name; change it if you like.
- Notes (optional) say what the version is, for example "First proof" or "Barcode moved".
- Choose Upload.
The artwork is created with its first version, v1, and shows at the top of the list. Its Simple and Advanced links exist right away, so you can share it straight after. The PDF is also kept in Files, in the Approvals folder (see Proofs and Files). For the next version of an existing artwork, use New version in the row's ⋯ menu instead (see Artwork versions).
Search and filter#
- Search matches the artwork name and the file name of any of its versions, as you type.
- The status tabs show All, or only the artwork whose latest version is Not sent, Pending, Approved or Rejected (see How approvals work).
- The list is newest activity first, 25 per page. Uploads, links, emails, decisions, resets and comments all count as activity; Last activity shows when it happened (on wide screens).
The search and the filter are part of the page address, so you can bookmark a filtered list.
What a row shows#

The print preview is the set of separations that the Advanced viewer, and Simple links of files that use overprint, show. It is made once per version, in the background; large or many-page files take longer. Reviewers who open a link before it is ready see the progress and the proof opens by itself.
The preflight badge#
Every uploaded version is preflighted automatically. The badge shows Preflight passed, the number of warnings or errors, Checking… while it runs, Preflight failed to run when the file couldn't be checked, or Not checked when there is no report yet. Click it to open the report. The badge is for your team only: reviewers don't see preflight results.
Row actions#
- Open proof opens the Simple viewer, the Advanced viewer or, when the version has one, the 3D proof in a new tab, the same page your reviewers see. While you are signed in you also see every reviewer's address in full and can reset decisions.
- Share opens the links to copy, and emails a link to reviewers (see Share links: Simple and Advanced and Reviewers: invitations and identity).
- ⋯ holds the rest:
- New version uploads the next version (see Artwork versions).
- Send v6 for approval, when a newer version of the artwork's file is in Files (see Proofs and Files).
- History opens the timeline of the artwork (see History and notifications).
- Send to imposition adds the latest version to an imposition job (below).
- Preflight report opens the latest report.
- Download PDF downloads the latest version's file.
An artwork without a version yet (its upload didn't finish) shows No file yet and an Upload PDF button.
Send to imposition#
Send to imposition in the ⋯ menu adds the artwork's latest version to an imposition job, with a quantity.
- Pick Existing job and search for it by name or description, or choose New job; its Job name starts as the artwork name. When your team has no jobs yet, the dialog starts on New job.
- Enter the Quantity: a whole number from 1 to 100,000.
- Choose Send, then Open the job to go on in the imposition workspace.
The dialog warns when the version is not approved yet, but still lets you send it, for example for an early estimate of the layout. The version is added to the job under the artwork's name; see Jobs and artwork.
Things to know#
- Artwork and versions can't be deleted or archived from the dashboard or the API today.
- Only PDF files can be uploaded. A file whose name doesn't end in .pdf, that isn't a PDF inside, or that is larger than 200 MB is refused with a message.
