Storage

What counts toward your team's storage, how much each plan includes, the storage meter, what happens when storage is full, and how to free space.

Your team's storage is the space its files take up in Files. Each distinct file is counted once, however many folders, copies, versions or apps use it, and previews are free.

Uploads are checked against your team's current trial, plan and paid storage packs. Admins can add storage through Plans and billing. Downloading existing files remains available when you are over the limit.

What counts#

Storage is the total size of the distinct files your team keeps:

  • every version of every file, not just the current one;
  • trash, until it is emptied or deleted after 30 days;
  • print-ready files made in the 1-up editor and preflight fixups;
  • files that only another app still uses, such as the version a sent proof shows;
  • uploads in progress, which hold their size until they finish or are cancelled.

What doesn't count:

  • Identical content. A file stored in two folders, a copy, a restored version and a re-upload of the same bytes all count once.
  • Previews and thumbnails, and the working files other apps make for themselves.

Sizes are decimal, as on your plan: 1 GB is 1,000,000,000 bytes and 1 TB is 1,000 GB.

A trial has 100 GB. You can add extra storage in blocks of 250 GB on any paid plan. See Plans and billing for your plan.

The storage meter#

The meter at the bottom of the folder tree shows how much your team uses, for example "142 GB of 500 GB". It turns amber from 85 % and red at 100 %, and from 85 % it offers Add storage to team admins. Click it to open Files settings › Storage, which every member can see:

  • a bar split into current versions, older versions, print-ready files, trash, files only other apps still use, and uploads in progress;
  • the largest folders;
  • Empty trash and Add storage for team admins.

The breakdown is recalculated every night. The Files card on the team home shows the same meter.

When storage is full#

Files checks a whole drop before it sends anything. If it doesn't fit, nothing is uploaded and a dialog says how much is needed and how much is free, for example "This upload needs 3.2 GB; 1.1 GB is free". From there an admin can add storage or empty the trash, and anyone can cancel. The API answers 507 with the code quota_exceeded and the bytes needed, free and limit.

  • Work in other apps isn't stopped at once. Files your apps make, such as proofs, print-ready files and fixups, may go up to 10 % over the limit before they are refused too.
  • Some things are never blocked: downloads, moves, renames, trash and restoring from trash.
  • Admins are emailed when the team reaches 90 % and again at 100 %.

Free up storage#

  • Empty the trash. Trashed files count until they are deleted. Admins can empty the trash at once (see Files); otherwise items are deleted 30 days after they were trashed.
  • Delete old versions you don't need. Admins can delete any version that isn't current and isn't used by another app (see Versions).

The meter goes down as soon as the trash is emptied or a version is deleted. Deleting a file only frees space when no other file or version has the same content, and when no other app still uses it. A trashed file that a proof or a job still uses is kept, and keeps counting, until nothing uses it.
