Team seats, storage and reviewers: planning your print workspace
Separate internal users, customer reviewers and shared storage when choosing a software plan.
A workspace allowance should be easy to understand. Start by separating the people who create and manage work from the customers who only review it, then estimate the file history the team needs to retain.
Count internal users by their work
Include estimators, prepress staff, production planners and administrators who need their own access. Avoid relying on shared credentials; individual accounts make permissions and activity easier to understand.
Check the total seat allowance after purchased extras. A base-plan number alone does not describe the team's full subscription.
Keep reviewers separate
Customers using a proof link have a different role from staff managing the workspace. AutomatePrint includes unlimited reviewers, while internal team access follows the plan's seat allowance.
That distinction helps a shop compare the configuration it needs without counting every customer as a staff user.
Estimate retained storage
Consider current artwork, revisions and the files produced during the workflow. Review the actual storage meter rather than assuming a folder's visible size tells the whole story.

Check capacity before inviting or uploading
Review existing members and available seats before adding staff. Check storage before a large archive import. If the team is above its allowance after a downgrade, existing members and files remain, but new invitations or uploads may be limited.
