How to onboard a print team to a shared workflow

Start with roles, files and one complete job before moving the entire shop into a new system.

A new workflow is easier to adopt when staff can see how it helps a real job. Begin with the people who handle intake, estimating, prepress and production, then walk one representative order through the process together.

Set access around responsibilities

Create individual accounts and review team roles. Give staff the access needed for their work, and keep billing and administration responsibilities clear. Confirm the total seat allowance before sending invitations.

Agree on a file structure

Choose a predictable customer and job structure. Define a small set of useful properties, such as job reference, SKU or substrate, rather than introducing a long list no one maintains.

Practice uploading a revision and finding an earlier version. Those actions should feel routine before a large archive moves.

Run one job across roles

Have the estimator prepare the scope, prepress inspect the artwork, a colleague review the proof and production inspect the selected layout. Note every handoff that needs clarification.

Expand in stages

Move a small group of active jobs first, review the result and adjust the process. Keep the team informed about where current work belongs so two competing systems do not become permanent sources of confusion.
