A practical year-end review for print-shop workflows
Use completed jobs to improve file handling, approvals, estimating and production planning.
A workflow review is most useful when it starts with real jobs. Choose a small set: one that ran smoothly, one delayed by revisions, one with an estimating difference and one that required production rework. Follow each from intake to delivery.
Review the file trail
Can someone identify the original artwork, each revision and the version released to production? Look for duplicate libraries, unclear names and instructions stored only in private messages.

Find the approval delays
Separate time spent waiting for a customer from time spent preparing the next proof. Review whether requests explained the changes and named the person responsible for the decision. A more specific message may solve a recurring delay without another reminder system.
Compare estimates with production
Look at stock use, setup and operating time. Investigate the largest differences first. If several jobs show the same pattern, adjust the equipment or material assumptions behind future estimates.
Do not change every setting at once. A focused change is easier to evaluate against the next completed jobs.
Review exceptions and handoffs
Ask where staff had to re-enter information, download and rename a file or interpret an unclear instruction. Those handoffs are useful candidates for a shared property, a standard procedure or a small integration.
Review team access and purchased capacity as well. Confirm that the people who need to work have seats and that the storage allowance fits the retained file history.
Choose a short improvement list
Assign an owner and a measurable outcome to each change. “Reduce proof preparation steps for repeat labels” is more useful than “Improve automation.” Check progress using the same type of job a month later.
