Top 5 file management tools for print shops
Compare five ways to organize customer artwork, keep versions straight and get the right files into production.
A folder full of files is not the same as a job ready to print. Customer revisions, production PDFs, dielines and approvals need a clear place in the same workflow. The right file system makes the current version easy to find without erasing the trail that explains how it got there.
How we chose these five
We looked at version handling, sharing, organization and the distance between storing artwork and using it. This is AutomatePrint’s editorial shortlist, with our own product first for shops that want a connected production workflow.
1. AutomatePrint
AutomatePrint is our first choice when artwork storage needs to feed the work happening in a print shop. Files keeps folders and versions together, and the same workspace connects to proofing and production tools. Uploading another version does not require another folder called “final.” Your team can follow the file through the job instead of rebuilding its context in separate applications. Storage is shared by the team, with capacity shown in the subscription summary.
2. Dropbox
Dropbox provides shared files and folders, access permissions and version history. It is a useful shortlist entry when a shop wants familiar file exchange with customers and suppliers. In a trial, follow a replacement PDF through the complete approval process so the team knows which copy is ready to use.
3. Box
Box combines cloud storage, version history and controls for collaboration inside and outside a business. Consider it when file governance is a major buying requirement. Bring an actual permissions scenario to the demonstration: an account manager, an operator and an external customer should each see only what they need.
4. Google Drive
Google Drive offers cloud file storage and sharing within Google Workspace. It can be a practical fit for teams already working in that environment. Make the trial about artwork revisions as well as office documents, and agree how an approved PDF will be distinguished from a working draft.
5. HYBRID CLOUDFLOW
HYBRID CLOUDFLOW combines asset management with file processing, soft proofing and workflow automation for production. It belongs on the shortlist for packaging teams evaluating a broader workflow investment. Ask the demonstration team to follow one asset from receipt through review and production output.
Put the shortlist to work
Create one customer folder with three jobs. Replace an artwork file twice, invite another team member and find the approved version without relying on a filename. Then retrieve an earlier version and check what the customer can access. Include an oversized file and an accidental deletion in the exercise. Those ordinary situations tell you more than a tidy demonstration folder.
Does a print shop need file storage and proofing in the same app?
It helps when the same people manage both. The important requirement is a clear relationship between the stored file, its version and the approval decision. AutomatePrint keeps those activities in one workspace.
