The expensive proofing mistake is often a simple one: somebody approves an old revision, or a correction gets lost in email. A useful proofing system makes the version, the requested changes and the final decision visible to everyone who needs them. For print, the review may also need to go beyond how a PDF looks at first glance.

Put the shortlist to work

Send the same two-version job through each candidate. Ask one reviewer to request a correction and another to approve. Replace the artwork, then check whether everyone can tell which version their decision belongs to. Record how many separate messages are needed to finish the review. A clear approval trail should survive a busy afternoon, not just a carefully rehearsed demo.

Is online proofing a replacement for a contract color proof?

No. An online review is valuable for content, layout and approval, but a screen does not establish a controlled physical color reference. Use the proofing process appropriate to the job’s color requirements.
