Shared drive or print file library: what does your shop need?

Compare everyday file storage with a library designed around artwork versions, properties and production work.

A shared drive is a familiar place to keep files. A print file library adds structure around the way artwork changes and moves through the shop. The choice depends less on the folder icon than on how reliably people can find and use the current production file.

Test the revision workflow

Ask two team members to update the same sample job. Can a third person tell which file is current, what changed and where the previous version went? If the answer depends on interpreting filenames, the process needs clearer rules.

Look beyond filenames

A customer name, SKU, substrate or job reference can help people search and filter across folders. Dedicated properties make those facts easier to use than a long naming convention that everyone must remember.

Folder defaults can reduce repetitive entry, but exceptions still need checking. A customer folder containing multiple substrates should not silently label every job with the same material.

Consider the next production step

Storage is only the start of the workflow. Staff may need to create a proof, inspect a PDF, run preflight or bring artwork into a layout. Compare how much downloading, copying and re-uploading each option requires.

Also review permissions, recovery and storage accounting. A library should make those behaviors understandable to the people responsible for the work.

Migrate in a controlled order

Begin with active jobs and a consistent structure. Check one customer's files, properties and revisions before moving a large archive. Keep a recovery path until the team has verified the imported material.
