From approved proof to imposed job: a cleaner handoff

Keep the approved artwork version connected to the layout and exports used in production.

A proof approval and an imposition layout can both be correct while referring to different files. The handoff between them needs an explicit version check. Otherwise, a last-minute correction can be approved by the customer but missed by the planner.

Identify the approved file

Before building the layout, check the artwork version and its decision record. Confirm whether approval covers all pages and variants in the job. Do not rely only on a filename or a message forwarded without its context.

Set production properties deliberately

Approval of content does not establish the layout quantity, allowed rotation, bleed, stock size or cutting route. Review those settings when the artwork enters the job.

If preparation changes the printed appearance, decide whether another customer review is required. Even a seemingly minor edit can matter when it affects legal copy, barcode placement or a visible edge.

Compare and inspect the layout

Run the appropriate imposition method, compare candidate plans and inspect the selected production view. Check quantities and any permitted overruns, then confirm that the print and cut exports use the intended plan.

For a multi-version order, review each item separately. Similar thumbnails can make language or size variants easy to confuse.

Keep a clear release record

A useful production handoff names the approved artwork version, selected layout, stock and relevant finishing instructions. Staff should be able to answer “What are we printing?” without searching several applications and an email thread.

When a revision arrives after release, stop and assess the affected work. Upload the new version, review it and deliberately replace the production input; an old approval should not silently authorize the change.
