10 file-organization habits that help print shops avoid rework
Build a shared artwork library that makes current files, revisions and job details easier to find.
A shared folder is useful only when another person can find the right file without asking its owner. Print shops need both a predictable structure and a clear record of revisions. These ten habits make a practical starting point.
- Start with customers and jobs. Use a structure such as Customers / customer name / job number. Keep it consistent across the team.
- Name the product. Include a recognizable description alongside the job number so people can distinguish related artwork.
- Separate variants deliberately. Different sizes, languages or products should have unambiguous names; they are not interchangeable revisions.
- Keep revisions together. Update the same file when the content changes. Avoid a trail of names ending in final, final-new and final-approved.
- Record the reason for a change. A short note can save someone from comparing two complete PDFs just to understand a correction.
- Use properties for shared facts. Customer, SKU and substrate are easier to filter when they have dedicated fields.
- Set folder defaults carefully. Apply common values to a customer or job folder, then check exceptions at the file level.
- Keep approval attached to the version. A filename containing “approved” is not a substitute for a recorded decision.
- Review storage use. Understand how revisions and retained files contribute to the team's allowance before deleting anything.
- Practice recovery. Make sure more than one person knows how to find an earlier version or recover a trashed file.
